Job Summary

TalentWise LLC is building a pipeline of administrative and program support professionals to support anticipated government contract awards with Arlington County, VA.

The Administrative Specialist provides advanced administrative and program coordination support for major programs, organizational units, or special projects. This role supports daily operations by coordinating workflows, tracking program activities, compiling data, and facilitating communication between internal and external stakeholders.

The position plays a key role in ensuring efficient program operations, maintaining accurate records, supporting reporting and analysis, and serving as a primary point of contact for program-related activities.

Key Responsibilities

  • Coordinate and track program activities, assignments, and project timelines 
  • Develop and maintain program records, tracking systems, and documentation 
  • Monitor workflow and ensure adherence to program standards and deadlines 
  • Prepare status reports, statistical summaries, and program documentation 
  • Compile and analyze data to support reporting, budgeting, and program evaluation 
  • Identify trends, issues, and opportunities for process improvements 
  • Serve as liaison between internal staff, vendors, contractors, and external agencies 
  • Coordinate meetings, prepare agendas, and facilitate communication among stakeholders 
  • Monitor contractor or program performance and report on progress and issues 
  • Provide guidance on program procedures, policies, and requirements 
  • Support quality control efforts to ensure accuracy and compliance 

Minimum Qualifications

  • High school diploma, GED, or equivalent required 
  • Considerable experience in administrative support, program coordination, or project support 
  • Strong knowledge of administrative procedures and program operations 
  • Ability to analyze data and prepare reports 
  • Proficiency with office software (e.g., Microsoft Excel, Word, PowerPoint, Outlook, Teams) 
  • Strong organizational, problem-solving, and communication skills 
  • Ability to work independently and manage multiple priorities 
  • Experience in a government or program environment preferred
