Records Assistant (Future Contract Opportunity)
Job Summary
TalentWise LLC is building a pipeline of administrative and records management professionals to support anticipated government contract awards with Arlington County, VA.
The Records Assistant provides administrative, technical, and records management support to ensure accurate maintenance, accessibility, and compliance of organizational records. This role supports document processing, data integrity, and records retention in accordance with local, state, and federal regulations.
The position also assists with customer inquiries, reporting, and general office operations, ensuring efficient and compliant records management processes.
Key Responsibilities
- Maintain and manage records and documents to ensure accuracy, accessibility, and compliance
- Process, scan, index, and organize records within records management systems
- Monitor and maintain data integrity across multiple databases and systems
- Retrieve, distribute, and track records and files as requested
- Identify and resolve issues with records, documentation, and systems
- Support records retention and compliance with applicable regulations and policies
- Respond to records requests, including internal inquiries and public information requests (e.g., FOIA)
- Assist with customer account research and basic billing-related inquiries
- Prepare reports, correspondence, and documentation as needed
- Perform general administrative duties such as filing, mail processing, and office support
- Coordinate postal correspondence and document distribution
- Create and track work orders related to customer or records inquiries
Minimum Qualifications
- High school diploma, GED, or equivalent required
- Some experience in records management, administrative support, or data entry
- Basic knowledge of office procedures and records management practices
- Strong attention to detail and data accuracy skills
- Ability to manage and organize large volumes of information
- Strong communication and customer service skills
- Proficiency with computer systems and office software
- Ability to follow established procedures and work independently
