Administrative Assistant II (Future Contract Opportunity)
Job Summary
TalentWise LLC is building a pipeline of experienced administrative professionals to support anticipated government contract awards with Arlington County, VA.
The Administrative Assistant II provides advanced administrative and clerical support for departmental operations, often handling sensitive and confidential information. This role operates with a high level of independence, supporting leadership through scheduling, document preparation, coordination of activities, and communication with internal and external stakeholders.
The position may also serve as a resource or lead for administrative staff and plays a key role in ensuring efficient office operations and effective coordination of programs and projects.
Key Responsibilities
- Provide advanced administrative support, including managing calendars, scheduling meetings, and coordinating logistics
- Prepare, edit, and format reports, correspondence, and official documents
- Handle sensitive and confidential information with discretion
- Track assignments, deadlines, and requests to ensure timely completion of work
- Maintain and manage moderately complex records and filing systems
- Coordinate special projects, events, and administrative initiatives
- Serve as a liaison between leadership, staff, clients, and external stakeholders
- Respond to inquiries and provide detailed program or organizational information
- Assist with personnel processes, including onboarding, time reporting, and recordkeeping
- Manage contracts, invoices, and administrative financial tracking as needed
- Provide guidance and support to administrative staff; may assign and review work
- Recommend improvements to administrative processes and procedures
Minimum Qualifications
- High school diploma, GED, or equivalent required
- Experience in administrative support, office management, or similar role with increasing responsibility
- Strong knowledge of office procedures, administrative systems, and document management
- Ability to handle confidential information with professionalism and discretion
- Strong organizational, multitasking, and time management skills
- Excellent written and verbal communication skills
- Proficiency with standard office software and systems
- Ability to work independently and support multiple priorities
